Conversion Process

 

At the Geller Group, we recognize that nothing is more important than insuring a seamless transition from one 401(k) platform to another. That's why our experienced and professional conversion team will work with you to help insure that schedules are met and your role is simplified. To further insure a smooth transition, the Geller Group assigns a Conversion Specialist to be your "single point of contact" throughout the conversion process.

We help plan sponsors achieve a smooth conversion and effect simplified administration in six easy steps:

Step 1 - Plan Design Review

Your Geller Group conversion team conducts a comprehensive analysis of existing plan documentation and plan reports to determine plan design and compliance. Your conversion team discusses with you the particular plan provisions of your existing plan document and whether these provisions conform to actual plan administration. We also offer alternative plan provisions and plan designs to enable plan sponsors to make informed decisions. We discuss with you the details of your business needs, as well as the employer's objectives in sponsoring a qualified plan.

Step 2 - Plan Documentation

Your Geller Group conversion team prepares the trust account application, the consulting, payment agency and trust agreements, as well as the plan document and the Internal Revenue Service submission thereof. We also prepare the summary plan description, as well as employee communications materials based upon the plan provisions approved by the sponsor and the investment fund lineup approved by the investment professional.

Step 3 – Employee Communications

A Geller Group employee communications specialist and your investment professional prepare customized enrollment kits and conduct on-site employee group meetings. We also conduct one-on-one counseling sessions to present plan highlights, plan provisions and the new investment fund lineup.

Step 4 – Future Contribution Processing

Your Geller Group Conversion Specialist will request employee information from you as well as work closely with you to effect the first deposit of future contributions under the new 401(k) platform. We will also audit your employee data to ensure accuracy.

Step 5 – Plan Asset Transfer

The Geller Group conversion team helps the plan sponsor effectuate a transfer of existing plan assets and the re-investment thereof in the investment fund lineup under the new 401(k) platform. We then reconcile plan accounts and activate the automated voice response system and interactive web sites for participant access. We also provide the plan sponsor with administrative forms, a compliance manual and support to insure a smooth service transition.

Step 6 – Relationship Management

To further insure success of the transition, the Geller Group offers a wide variety of training sessions for your employees, including conference calls in-person meetings regarding 401(k) transaction processing and employee communications.
